The intricacies and complexities of corporate event management

Mwango Haankwenda, Marketing & Events Coordinator, KashOne Communications

Commercial organisations host events to make an impression, to attract attention and to communicate messages.

A recent conversation with Mwango Haankwenda, Marketing & Events Coordinator of KashOne Communications, made me realise that putting together a professional event that is remembered for the right reasons is no mean feat! We also feature three of the very many corporate events managed by KashOne Communications with some great imagery.

The puzzle pieces of corporate events

To illustrate the many puzzle pieces of a successful corporate event, these are some of the things that need to be considered…. Invitation letters. Media management. Equipment sourcing. Brand management. Seating plans. Hostesses. Venue setup. Exhibition layout design. Booth setup. Delegate accommodation. Delegate transport coordination. Decor. Catering to suit dietary needs and preferences of local and international guests. Exhibitor management. Design and print of publicity material. Organisation of delegate tours. Music entertainment. Cultural entertainment. Excursions. Tours. VIP delegate management. Coordination of multiple events under one umbrella event. Videography. Photography. Delegate registration. Traffic flow. Gala dinners. Branded corporate clothing. Logistics. Third party supplier coordination. Hiring and supervising contractors. Technical support. Programme management. Schedules. Time management….

And breathe…. See? So many intricately intertwined details that need to be planned, organised and delivered, most probably through a rather complex Gantt chart!

Skill requirements of your dream event planner

Looking at all that, it’s clear that professional event planners need an array of skills. Organisational skills and project management are fundamental. On top of that an event planner needs to have an eye for design, excellent negotiation and communication skills, as well as the ability to manage a budget and juggle multiple detailed jobs at once! They must never get ruffled. They must keep a handle on a vast array of people, tasks and dates.

If you think that one person can’t possibly be a pro in all the skills necessary to pull together a professional corporate event then calling on an event management company is essential. A company like KashOne Communications has a team of individuals skilled in all the areas required to organise high profile events.

A portfolio of brand enhancing corporate events

To illustrate KashOne Communications’ competence in delivering quality, memorable and brand enhancing corporate events, we’ve pulled together a selection of corporate events handled by their dependable team. They’ve been delivering memorable corporate events since 2004 so these examples are a tiny selection of their portfolio.

The European & Developing Countries Clinical Trials Partnership (EDCTP), 2016, New Government Complex, 450 Delegates

The demands of this event were very unique in that KashOne Communications organised the entire event with an international client based in the Netherlands. All communication with the client was handled over Skype and Whatsapp. They handled international delegates providing airport hostesses and transport to and from airport, event and various accommodations. Because their client was out of country they handled all details including design and print of publicity materials, audio and visual equipment, exhibition layout design, setup and coordination, welcome cocktails, delegate dinners, full catering, and more…

Ongoing CSR events with Japan Tobacco International (JTI) taking place throughout Zambia

KashOne Communications continue to work in partnership with JTI. JTI calls on them to deliver all kinds of events, from stakeholder cocktails to CSR events, like official community handovers, outreach and partnership programmes. Many of these events take place in remote locations across Zambia. KashOne Communications are experienced in handling the extra complexities that come with remote event management like chartered transport services, power supply and backup as well as equipment sourcing, transportation and setup.

The African Development Bank (AFBD), range of events

KashOne Communications have worked on a range of events for The African Development Bank. These events include:

  • Annual general meetings, 5,000+ delegates,
  • Luncheons, dinners, cocktails and banquets
  • Spouses programmes
  • Cultural nights

These corporate events demand detailed event management services. Such a client demands very different skill sets. They deliver large scale events for thousands of delegates — think traffic flow, ticketing and multimedia management as well as carefully crafted personalised events for smaller stakeholder groups — think invitations, entertainment and catering.
